The Team section is your central hub for managing everyone who works in your detailing business. From here you can invite new employees, assign roles, fine-tune what each role is allowed to see or do, and get a clear picture of how workload and completed jobs are distributed across your crew.

Inviting a team member

Open Team Management

Click Team in the sidebar, then click Manage team in the top-right corner of the page. This takes you to the Team Management screen.

Open the invite dialog

Click the Invite employee button in the top-right corner.

Enter their details

Fill in the employee’s account email (they’ll use this to sign in), their full name (optional), and select a role — Owner, Manager, or Staff.

Send the invitation

Click Send invite. An invitation link is generated immediately. Copy the link and share it with your employee if the email hasn’t arrived — it expires after 14 days.

Employee accepts

Your team member clicks the link, creates their account (or links to an existing one), and appears as Active on your roster.
If an employee already has a DetailAhead account under the same email address, the invitation links to their existing account rather than creating a new one.

Roles and permissions

DetailAhead has three built-in roles. The Owner role always has full, unrestricted access and cannot be limited. The Manager and Staff roles are configurable — you decide exactly which parts of the app they can access.

Owner

Full control over every feature, including billing, team management, and all financial data. Cannot be restricted.

Manager

Runs day-to-day operations. Permissions can be adjusted — for example, you can allow Managers to view finances but prevent them from editing team settings.

Staff

On-the-tools access. By default, Staff can manage orders and customers but are restricted from financial reports and sensitive settings.

Configuring role permissions

Go to Team → Manage team and scroll down to the “What each role can see” section. Each role card shows a summary of what that role can and cannot access. Click Edit on a role card to open the permission editor. In the editor, flip the toggles to grant or remove access to specific capabilities, including:
  • View finances — revenue figures, transaction history, and financial reports
  • Edit customers — add, update, or remove customer profiles
  • Manage inventory — restock and track detailing supplies
  • Manage team — invite, disable, and edit the roles of other employees
  • Access settings — change business profile, opening hours, and workspace configuration
Changes apply to everyone with that role immediately — you don’t need to save or reload.
Only the Owner can change billing, delete the account, or modify team permissions. These actions are locked for all other roles and cannot be unlocked.

Viewing team performance

The main Team page shows at-a-glance stats for every team member over a selectable period (last 30 days, 90 days, 12 months, or all time):
  • Jobs completed — a bar chart comparing completed jobs per person
  • Revenue brought in — revenue credited to each person’s completed jobs (visible to roles with finance permission)
  • Everyone, side by side — a sortable table showing assigned jobs, completed jobs, open jobs, overdue jobs, completion rate, revenue, and average job value
  • Workload right now — open jobs per person, regardless of the selected period, so you can see who has the most on their plate at a glance
  • What they work on — the most common service for each team member
Use the Period selector in the top-right of the Team page to compare performance over different time windows. Switching to “All time” gives you the full picture for reviews or pay conversations.

Assigning team members to orders

When you create or edit an order, choose a team member from the Assigned to field. Assigned jobs appear under that person’s stats on the Team page and on the Calendar view, making it easy to see who is scheduled for what. Unassigned jobs are tracked separately on the Team page so nothing slips through the cracks.

Plan limits

The number of team members you can have depends on your plan. If you reach your plan’s limit, upgrade to the next tier from Settings → Billing. See Plans for a full feature comparison.
