# Scheduling and viewing jobs on the DetailAhead calendar

> The DetailAhead calendar gives you a week and month view of every scheduled job, color-coded by status, so you can plan your team's day at a glance.

The Calendar gives you a visual overview of every scheduled job and business event in one place. Every order with a date and time appears here automatically — you never need to add jobs to the calendar separately. Use the calendar to spot scheduling conflicts, plan your team's week, and block out days when you're unavailable for bookings.

## Calendar views

Switch between views using the **Month**, **Week**, and **Day** buttons in the toolbar.

    Shows every day in the current month as a grid. Each job appears as a coloured pill on its scheduled date. Days with more than three events show a "+X more" indicator — click it to see all events for that day. Click an empty day to create a new event on that date.

    Shows the current week as an hourly grid from 7 AM to 8 PM. Jobs are slotted into their scheduled time, and an all-day row at the top holds events that don't have a specific start time. Use week view to see how full each day is and whether gaps exist for additional bookings.

    Shows a single day as an hourly grid. Switch to day view when you need to see the exact sequence of jobs and resolve timing conflicts for a busy day.

Use the **Previous** and **Next** arrows to move between months, weeks, or days. Select **Today** to return to the current date instantly.

## Color-coding by status

Every job on the calendar is colour-coded so you can read the day's status at a glance without clicking into individual orders.

| Colour            | Status               |
| ----------------- | -------------------- |
| Blue              | Pending or Confirmed |
| Green             | Completed or Paid    |
| No colour / muted | Cancelled            |

Blocking events (holidays and blocked-out days) appear with a distinct style and show a **Blocked** label on any empty day they cover.

## Clicking an appointment

Click any job pill on the calendar to open a popover showing the service name, customer name, time, and vehicle. Select **View order** in the popover to navigate directly to that order's detail page where you can update status, edit details, or record costs.

## Creating a new calendar event

Calendar events let you add notes, holidays, or blocked-out periods on top of your order schedule.

    Select **Add event** in the top-right corner of the Calendar page, or click directly on an empty day in month view to open the form with that date pre-filled.

    Select one of three types:

    * **Note** — a reminder visible only to you. Does not affect your booking availability.
    * **Holiday** — marks you as unavailable for the whole day. Blocks new bookings on your public booking page for the covered dates.
    * **Blocked out** — use for training, vehicle maintenance, or anything else that prevents bookings. Also blocks the covered dates on your booking page.

  <Step title="Set the title and dates">
    Enter a title and choose a start date. Add an end date to span multiple days. For Notes, you can optionally deselect **All day** and enter specific start and end times.

    Select **Add event**. The event appears on the calendar immediately. Edit or delete it at any time by clicking it and selecting **Edit event** in the popover.

## Team assignments on the calendar

Each job pill includes the assigned team member's name when space allows. In week and day view, you can see which team member is handling which job at what time. To change the assignment, open the order detail page from the popover and select **Edit details**.

## How the calendar syncs with orders

The calendar and the Orders page share the same data — there is no separate sync step. When you create or update an order with a date and time, it appears on the calendar immediately. When you reschedule an order by changing its date in the order detail form, the calendar pill moves automatically.

<Tip>
  Set your opening hours in **Settings → Store → Opening Hours** so your public booking page only offers time slots within the hours you actually work. Days marked as closed in your opening hours appear with a subtle **Closed** label on the calendar, and no slots are offered to customers on those days.

## AI summary on the calendar

The calendar includes an **AI Summary** card that reads the jobs on screen for the current view period and generates a plain-English overview — for example, the total number of jobs this week, cars being cleaned, and whether you have any blocked days coming up. Select **Refresh** to regenerate the summary at any time.
